Welcome to GHL NEWS! In Today's issue:
AI Action Updates
Workflows + Documents and Contracts
Community Control
Back to a normal (i.e. fast) pace of updates from GHL this week. Some long-awaited ones like email forwarding, more control of communities UI, and several upgrades to AI throughout the system.
Unfortunately there has also been an uptick (again) in A2P rejections and issues. I had a couple rejections this week for clients using the same steps that have been working for months so something changed with Twillio and the carriers.
See the Content Corner section below for an updated help doc and video from GHL with new details on how to make approvals go more smoothly. We'll be trying those this week.
My agency's Whitelable Mobile App got approved in both app stores this week. The HighLevel team behind that is great, they worked through a few issues and approval things for us and end to end this process took about 2 weeks and just a few hours of time on my side and they did the rest. They also have dedicated Slack channel for support.
As always, please click at least one of the news items below or reply to the message to make sure you continue to receive GHL NEWS!
This Week's News:
Workflow Settings: Choose your default builder + control who can switch between builders
Agencies can now set a default workflow builder (Standard or Advanced) and define who is allowed to switch between builder views. This gives admins more control over how teams build automation and helps transition users into Advanced Builder at their own pace. The default applies only to new workflows, while existing workflows retain their last saved configuration. Role-based permissions ensure flexibility without compromising governance. This update improves workflow consistency and reduces friction for users with mixed skill levels.
Email forwarding to any address
Email forwarding has finally been added to the platform. Users can now forward individual emails directly from within the HighLevel platform. Complete email threads can be forwarded, maintaining conversation context. The forwarding process works exactly as users would expect from traditional email clients.
Funnel and Website AI Upgrades
Funnel and Website AI has been upgraded with more professional premium designs, better images, stronger layouts, consistent cross-device appearance, and a new AI page revision system that allows users to make targeted updates to specific sections (like switching to dark mode) without completely redesigning the entire page, making the editing process much more efficient and precise.
AI Actions in Workflows — Now More Powerful
The AI Actions engine powering workflow automation has been upgraded to a higher-quality underlying model. Translation is more natural, summaries capture nuanced detail better, intent detection is smarter, and AI decision-making has higher accuracy. No settings or conversions are required—existing workflows automatically benefit from the improvements. The update reduces edge-case failures and enhances overall AI reliability in production workflows.
Cloning of Content within a Course (New Builder)
Creators can now clone lessons, quizzes, and assignments directly inside the New Courses Builder. All associated assets—media, thumbnails, descriptions, quiz questions, and assignments—are duplicated instantly for faster module creation. This accelerates course development and supports consistent structure across recurring content types. Cloned items are editable immediately and do not affect original content. Future enhancements will extend cloning across courses.
Native WhatsApp Voice Notes with Transcriptions
WhatsApp voice notes sent from HighLevel now deliver as native WhatsApp voice messages rather than downloadable attachments. This allows instant playback inside WhatsApp and supports built-in transcription when recipients enable it. Native formatting increases engagement, accessibility, and clarity during conversations. The change requires no new setup and automatically enhances outgoing voice communications.
Enable/Disable a Community Group Tab
Community admins can now enable or disable navigation tabs to customize the member experience. Tabs such as Learning, Events, Leaderboard, and Members can be toggled on or off, while Discussion and About remain mandatory. This allows communities to tailor engagement modes to their goals—such as learning-only or events-first environments. Changes apply instantly across users and support more focused participation.
Allow Admins to Reassign CRM Contacts Between Affiliates
Affiliate Manager now includes an admin control for reassigning CRM contacts when duplicates exist with the same email. This ensures affiliates remain linked to the correct CRM contact for reporting, attribution, and automation. Guardrails prevent broken mappings and data inconsistencies. The feature reduces support overhead and improves downstream accuracy for affiliate-driven campaigns.
Enhanced Form Tracking & Custom Field Capture
External Tracking can now capture and map a wider range of form-based custom fields from both HighLevel and standard HTML forms. Field types such as dropdowns, checkboxes, ratings, numbers, and dates are now supported with smarter mapping logic. Unmapped fields are stored cleanly for troubleshooting and correction. This upgrade enables richer attribution, better workflow triggers, and stronger form analytics.
Improved Labs Controls: Better Visibility, More Flexibility
Labs now supports separate controls for feature visibility and enablement, allowing agencies to expose experimental features without forcing activation. Agencies can also decide whether new Labs features are visible by default and override settings per sub-account. This improves discovery, rollout planning, and experimentation speed. The update provides stronger feature governance for Unlimited/Pro plans and simplified defaults for Starter plans.
Documents & Contracts: Assign fillable fields dynamically from Workflows
Workflows can now assign fillable signature fields in contract templates dynamically based on the workflow’s “From User.” This is especially helpful for sales or onboarding teams where different reps send the same agreement to different customers. The feature reduces repetitive template editing and ensures accurate signer assignment. It supports multi-user handoffs and improves document automation consistency.
Customizable Contact Form Messages in Chat Widget
Sub-accounts can now customize the default system prompts used to request visitor contact details in the Chat Widget. Two separate fields support automatic prompts and agent-triggered prompts, providing clearer control over tone and UX. Leaving a field blank skips the message entirely and displays the form instantly. This enhances branding, improves trust, reduces confusion, and strengthens white-label flexibility.
AI Actions in Workflows: Improved Naming and Organization
AI-related workflow actions have been renamed and regrouped to clarify distinctions between generative AI and conversational AI capabilities. Workflow AI actions like Translate, Summarize, Intent Detection, and Decision Maker now reside under AI Actions with cleaner labels. Conversation AI actions have been moved into their own category for intuitive organization. Existing automations continue to run unchanged.
Support for Custom Values in Calendars
Calendars, Services, and Rentals now support inserting user-created custom values into settings and communications. These values can personalize reminders, titles, messaging, or location details using data beyond system-level fields. Searchable selectors make it easier to find and reuse values consistently. This upgrade expands calendar-based personalization and reduces manual copy-paste work.
Phone Number Sync for Calendly Appointments
HighLevel now syncs invitee phone numbers from Calendly appointments even when they’re entered in non-standard fields such as location or form questions. Mapping logic allows users to choose between multiple fields or skip syncing entirely. When no phone fields are present, syncing is skipped automatically to avoid errors. This reduces manual clean-up and ensures scheduling workflows include contact numbers.
Add Multiple Date-Specific Hours for Services (v2)
Calendar services now support selecting multiple dates at once when setting date-specific availability. Consecutive dates are automatically grouped for cleaner management and easier editing. This reduces repetitive setup for holiday hours, temporary schedule changes, or short-term events. Bulk creation improves speed and reduces scheduling complexity.
Renamed SaaS Product Labels
SaaS plan names have been relabeled across the platform to differentiate legacy and modern SaaS structures. “Agency Plan” is now labeled “SaaS V1 Plan,” while “SaaS Plan” is now labeled “SaaS V2 Plan.” The change affects labels only and does not alter pricing, billing, or features. It clarifies plan type for agencies and improves internal naming consistency.

Did you know?
Did you know that GHL has a Funnel creation agent in Ask AI? The Funnel Creation Agent is an AI-powered assistant within HighLevel’s Ask AI platform, designed to help users create professional, high-converting funnels with minimal effort. By leveraging smart automation, pre-built templates, and intelligent Q&A, the Funnel Agent guides you through the funnel-building process, allowing you to focus on your business goals rather than technical setup.
These AI builder features are not perfect by any stretch yet, but the improvements in just the last few months show the direction the platform is going.
